How PropDefect collects, uses, and protects personal data under Singapore’s Personal Data Protection Act 2012 (PDPA). Plain language. No dark patterns.

1. Who we are

PropDefect is a Singapore-based property defect inspection service operating in Singapore. References to “we”, “our” and “us” mean PropDefect and the team that operates it.

2. What this policy covers

This policy explains how we collect, use, disclose, and safeguard the personal data of customers, prospective customers, and visitors to propdefect.com. It is written to comply with the Singapore Personal Data Protection Act 2012 (PDPA) and the PDPA’s subsequent amendments.

3. The personal data we collect

We collect only data we genuinely need to deliver our inspection service or to communicate with you about it.

  • Contact details: your name, phone number (typically WhatsApp), email address, and the unit address being inspected.
  • Service data: key collection date, property type, inspection scope, defect photographs, and inspection reports we produce for your unit.
  • Payment data: we use third-party payment processors. We see transaction confirmations but do not store your card or bank details on our systems.
  • Communications: WhatsApp conversations, email correspondence, and any voice or text messages exchanged with our team for booking, coordination, or follow-up.
  • Website analytics: if you consent via the cookie banner, we collect aggregated, pseudonymised browsing data through Google Tag Manager and Google Analytics: pages viewed, time on page, device type, referrer, and approximate region. This data is not used to identify individuals.

4. How we collect personal data

  • Directly from you: when you message us via WhatsApp, email, or any contact form, or when we conduct an inspection.
  • Through our website: via cookies and analytics scripts (only if you consent).
  • From third parties: in rare cases, from your developer, contractor, or property agent if they are coordinating an inspection on your behalf, only with your authorisation.

5. Why we use your personal data

Under the PDPA, we may only use your personal data for purposes you have been notified of and have consented to. Specifically:

  • To deliver the inspection service: scheduling, conducting the inspection, producing the defect report, and filing it as required.
  • To communicate with you: confirming bookings, coordinating logistics, sharing reports, and responding to questions during your Defect Liability Period.
  • To process payments: through PayNow, bank transfer, or our payment gateway provider.
  • To improve our service: aggregated, anonymised analysis of inspection patterns, defect frequencies, and customer feedback. No personally identifying data is used in this analysis.
  • To comply with legal obligations: tax records, accounting, and any lawful requests from Singapore authorities (HDB, BCA, IRAS, SCDF, the police, or courts).

6. Who we share personal data with

We do not sell personal data, ever. We share only with the following categories of recipients, and only as necessary to deliver our service:

  • Your developer or HDB BSC: the defect report we prepare is filed with your developer or the BSC, with your authorisation, in the format they require.
  • Our service providers: payment processors, cloud hosting providers (Cloudflare for the website and reports archive), and customer-relationship tools. All are bound by their own PDPA-equivalent commitments.
  • Legal authorities: only when required by Singapore law or compelled by a court order.

We do not transfer personal data outside Singapore except via cloud service providers (e.g., Cloudflare, Google) whose data-handling practices have been assessed for PDPA compliance.

7. How long we keep personal data

We retain personal data for as long as it remains useful for the purposes set out above, or as required by law, whichever is longer.

  • Inspection reports and supporting evidence: retained for the duration of your Defect Liability Period plus a minimum of seven years after, to enable post-DLP claims and dispute support.
  • WhatsApp conversations and emails: retained as long as the inspection record itself.
  • Aggregated, anonymised data: may be retained indefinitely for product and service improvement.
  • Marketing consent records: kept until you withdraw consent.

8. Your rights under the PDPA

The Singapore PDPA gives you specific rights over your personal data:

  • Right of access: you may request a copy of the personal data we hold about you and information about how it has been used.
  • Right of correction: you may request that we correct any inaccuracy in your personal data.
  • Right to withdraw consent: you may withdraw consent for us to use your personal data at any time, on reasonable notice. We will inform you of the consequences (e.g., we may not be able to continue providing the service).
  • Right to lodge a complaint: with the Personal Data Protection Commission of Singapore via pdpc.gov.sg.

9. Security

We protect personal data with reasonable technical and organisational safeguards, including encryption in transit (HTTPS) and at rest (cloud provider AES), access controls on our internal systems, and staff training on data handling.

No method of transmission or storage is 100% secure. If you become aware of a breach affecting your data, please contact us immediately.

10. Cookies and tracking

Our website uses cookies and analytics scripts only with your explicit consent via the banner you saw on first visit. You can withdraw consent at any time by clearing your browser’s cookies for propdefect.com. We do not use cookies to track you across other websites.

Technical cookies essential to the website (e.g., remembering whether you have consented) are exempt from the consent requirement under PDPA guidance.

11. Children

Our service is intended for adults purchasing or owning Singapore residential property. We do not knowingly collect personal data from anyone under 18. If you believe a minor has provided personal data to us, contact us and we will delete it.

12. Updates to this policy

We may update this policy from time to time. The “Last updated” date at the top reflects the most recent change. Material changes will be communicated to existing customers by email. Continued use of our service after an update constitutes acceptance of the updated policy.
